1. Who we are

RingVet is a Canadian-owned business providing AI-powered front desk services to veterinary clinics across Canada. Our service handles inbound phone calls on behalf of veterinary practices.

2. Information we collect

Caller information: When pet owners call your clinic through RingVet, we may collect names, phone numbers, pet names, appointment details, medication information, and other details provided during the call.

Clinic information: We collect information provided by veterinary clinics during onboarding, including clinic name, contact details, staff names, protocols, and practice management system data.

Usage data: We collect data about how our service is used, including call volumes, call outcomes, and appointment booking rates.

3. How we use information

We use collected information to provide and operate our AI voice agent service, book appointments into your practice management system, route emergency calls to on-call veterinary staff, process prescription refill requests for your team's review, generate reporting and analytics for your clinic, and improve our service.

4. How we store and protect information

RingVet takes reasonable technical and organizational measures to protect the information we handle. Our service is operated in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

We retain call data and transcripts for a period of 90 days unless a longer retention period is requested by the clinic or required by law.

5. Sharing of information

We do not sell personal information to third parties. We may share information with your veterinary clinic (our primary customer), third-party service providers who assist in operating our service under confidentiality agreements, and law enforcement or regulatory authorities where required by law.

6. Your rights under PIPEDA

Canadian individuals have the right to know what personal information we hold about them, access their personal information, request correction of inaccurate information, and withdraw consent for certain uses of their information.

7. Veterinary clinic responsibilities

Veterinary clinics using RingVet are responsible for informing their clients that calls may be handled by an AI voice agent, obtaining any necessary consents from their clients, and ensuring their use of RingVet complies with applicable privacy laws.

8. Changes to this policy

We may update this policy from time to time. We will notify active clinic customers of material changes by email.
