Terms of Service

1. The Service

RingVet provides an AI-powered telephone answering and front desk service for veterinary clinics. The Service includes inbound call handling, appointment booking, emergency triage routing, prescription refill capture, and related features as described at ringvet.ca.

2. Who can use the Service

The Service is available to licensed veterinary practices operating in Canada. By using the Service, you represent that you are authorized to enter into agreements on behalf of your veterinary practice.

3. Your responsibilities

You agree to provide accurate information during onboarding, inform your clients that calls may be handled by an AI voice agent, review and approve all prescription refill requests before dispensing — RingVet captures requests but does not authorize prescriptions — maintain a functioning emergency escalation contact for after-hours triage, and use the Service in compliance with all applicable laws and veterinary regulations.

4. Emergency triage limitation

RingVet's emergency triage feature is designed to identify and escalate potential emergencies based on caller-reported symptoms. It is not a substitute for professional veterinary judgment. You remain responsible for all clinical decisions made by your practice.

5. PIMS integration

RingVet integrates with supported practice management systems to book appointments. You are responsible for ensuring your PIMS is configured correctly and that bookings made through RingVet are reviewed by your team.

6. Pricing and payment

Pricing is agreed upon between RingVet and your clinic prior to onboarding. Payment terms are specified in your service agreement. We reserve the right to suspend the Service for non-payment with reasonable notice.

7. Confidentiality

Both parties agree to keep confidential any proprietary or sensitive information shared during the course of the service relationship. This includes your clinic protocols, staff information, and client data.

8. Limitation of liability

RingVet provides its Service on a reasonable efforts basis. To the maximum extent permitted by law, RingVet shall not be liable for missed calls due to technical failures beyond our reasonable control, clinical outcomes resulting from emergency triage escalation or non-escalation, errors in appointment booking resulting from inaccurate information provided during onboarding, or any indirect, consequential, or incidental damages.

Our total liability to you shall not exceed the fees paid by you to RingVet in the three months preceding the claim.

9. Termination

Either party may terminate the Service with 30 days written notice. We may suspend or terminate the Service immediately if you breach these Terms or use the Service in a manner that poses risk to callers or to RingVet.

10. Changes to these Terms

We may update these Terms from time to time. We will notify active customers of material changes by email at least 14 days before they take effect.

11. Governing law

These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein. Any disputes shall be resolved in the courts of Ontario.
